An Air-Gap Transfer Checklist Before You Sign

Moving assets between air-gapped environments demands more than verifying an address on screen. Over four hundred reconciliation sessions, we have catalogued the verification steps that prevent the most common documentation failures.

Before Initiating

  1. Confirm the destination address against two independent sources (hardware display + printed reference).
  2. Write the destination’s last eight characters on your transfer memo before signing.
  3. Check that your signing device firmware matches the version noted in your custody procedure document.
  4. Verify sufficient balance including estimated network fees.
  5. Ensure your paper ledger is open to the next blank entry.

During Signing

  1. Read the full amount aloud if a co-signer is present.
  2. Note the exact local time when the transaction is broadcast.
  3. Record the change-output address if applicable (many holders forget this).
  4. Do not discard the unsigned transaction preview—print or photograph it for your records.

After Broadcasting

  1. Wait for your chosen confirmation threshold before updating the ledger’s “confirmed” column.
  2. File the exchange withdrawal confirmation or block explorer printout behind the ledger entry.
  3. If using multisig, collect initials from all signers within 48 hours.

Common Oversights

Holders frequently forget step 8. Change outputs look like new destinations and cause reconciliation confusion months later. Another frequent gap: recording the transaction ID before it is confirmed, then failing to update the entry when the ID changes due to RBF or a resubmission.
